When you manage the companies of your Users correctly, you can use them for a number of additional settings in BIMcollab.
How to create a company
You can create a new company in two different ways in BIMcollab.You can add it manually to the company list in the Space administration page, or automatically create it when you add a new user who is part of a company that does not yet exist in the system.
Add a company to the company list
Go to the Space Administration page by clicking the gear icon in the top right of your space. This is only possible if you are an admin of the space.
Go to the Users tab.
Set the view to 'Companies'.
From there, you can find the 'New Company' button at the top.

By clicking it, you can set up the information for the new company.
Only the 'Name' is a mandatory field, but you can also set an 'Abbreviation' and 'Address' for this company.
When you are done, save the company by clicking the 'Create company' button.
Create a company by adding a new user
When creating a new user in BIMcollab, you have to fill in the 'Company' as a mandatory field. You will see a dropdown menu to find the company of the new users. If this company does not yet exist in the BIMcollab space, you can choose the 'Create new company' option at the bottom of this list.
By clicking this, you can set up the information for the new company.
Only the 'Name' is a mandatory field, but you can also set an 'Abbreviation' and 'Address' for this company.

When you are done, save the company by clicking the 'Create company' button.
📝 Note: A new user can be created in the space administration by an admin or by users with the rights to create new users in the project settings. This can be a team leader adding his team members to the project.
Manage companies as an Administrator
Ensure that users in your BIMcollab Space are assigned to the correct companies, as this enables access to specific features that rely on company associations.
Company list
The Company list provides an overview of all companies that exist within your BIMcollab Space.
Go to the Space Administration page by clicking the gear icon in the top right of your space. This is only possible if you are an admin of the space.
Click on the 'User' tab
Set the view to 'Companies'
Company details view
When you are in the company list, click on any company to see the company details view. You can find the users within this company and activate or deactivate them. This is the same toggle as the 'can login' option from the User list view, which will allow/prevent users from logging into your BIMcollab space.
⚠️ Attention:
You can not add or delete a user in this company's details view. This has to be done in the user settings.
You can not delete companies in this view.
Click the 'Edit company' button to edit the company you are viewing.
How to use companies within the BIMcollab environment
Companies can be useful to improve your Issue Management and Document Management features.
Issue Management
Limit the visibility of issues to team members of the same company as the issue creator
Project leaders can enable a setting that limits the visibility of issues so that they are only accessible to team members who belong to the same company as the issue creator. Read more about it in this article.
This project-level setting applies to all team members who have permission to create issues. When enabled, any issue created will only be visible to colleagues from the creator’s company, keeping company-specific information private.
Restrict issue closing rights to the BIMcollab space owner’s company
Project leaders can enable a setting that limits the ability to close issues exclusively to team members who belong to the company that owns the space.
When this restriction is active, team members from other companies can still work with issues but will not be able to close them.
As a project leader of the project. You can go to the settings page.
Find the 'General' Settings
Select 'Employees of < Company name >' to limit the users who can close issues to the employees of this company only.
⚠️ Attention: The label 'employees of <company name>' always refers to the company that owns the space (the company created for the first administrator). It does not necessarily match the company of the Project Owner. This assignment cannot be changed.
Limit issue assignment to a team member’s own colleagues
Project leaders can enable a setting that limits a team member to assigning issues only to colleagues within their own company. Read more about it in this article.
This restriction is applied individually and only affects the specific team member for whom it is configured.
Document Management
Companies play an important role in document management. By correctly linking users to their companies, project leaders can control visibility and responsibilities across different organizations.
Phase Team user roles
In Phase Team user roles, companies affect the permission control through two options that can be selected for all permissions:
'My Company' permissions: Companies can enable restricted access where users can only view, add, edit, or delete documents where their company is the author.
'By Property' permissions with Work Packages: Companies must be linked to Work Packages to use property-based permissions. When uploading documents with Work Package Codes, users can only access documents if the code matches a Work Package assigned to their company.
Audits tasks
Team members from the same company can complete each other's audit tasks, providing flexibility while maintaining accountability.
