How to assign BIMcollab licenses

Discover how to assign and manage BIMcollab licenses.

BIMcollab is a unified platform that offers different capabilities to meet the various needs of a project workflow.

Licenses in BIMcollab determine whether users have access to the platform and can participate in projects.

There are two types of licenses available:

  • A BIMcollab license, which provides access to BIMcollab, including issue and document management. The scope of available features depends on your subscription tier.

  • A BIMcollab Zoom license, which provides access to BIMcollab Zoom, the desktop application, with advanced model checking capabilities.

For administrators, assigning licenses is an essential step in giving users access to BIMcollab and/or BIMcollab Zoom. Once access is granted, Project team roles and Phase workgroup role permissions define what users can see and do within projects.


Assign a license to a user

As a BIMcollab space administrator, you can assign and manage licenses for all users in the Space administration section of your BIMcollab account.

You can assign a license when adding a new user or by editing an existing user.

To assign a license to a user, follow the steps below:

  1. Go to the Space Administration by clicking the gear icon in the top-right corner.

  2. Navigate to the Users tab.

  3. Locate the user you want to assign a license to using the search bar if needed.

  4. Use one of the two ways to assign a BIMcollab license:

    1. From the user list, use the toggles from the last columns of the User overview to quickly assign or remove licenses.

    2. Click on the User name to access the details panel, and click the button Edit user. From the edit panel, select the licenses to be assigned to the user using the checkboxes in the bottom section.

Once assigned, the user will gain access to the corresponding functionalities within all BIMcollab applications.

⚠️ Attention: Only space administrators can view and manage license assignments. If you need access to license management, request admin rights from an existing space admin.


Using licenses as a user

To access BIMcollab, users must have the appropriate license assigned to them.

A BIMcollab license is required:

  • to log in to the web application,

  • to connect to the BIMcollab project in Zoom

  • to connect a BIMcollab project with other external BIM tools through BCF managers (e.g. Revit, Solibri, etc.),

  • cloud services (e.g Forma Data Management and Trimble Connect),

A BIMcollab Zoom license is required to:


​Zoom licenses are managed by administrators in the Zoom tab of the Space Administration.

💡 Tip: If a BIMcollab Zoom license is assigned to a user, the user can retrieve the license in the BIMcollab Zoom application using the user's space credentials.


Manage your subscription

The number of licenses available is determined by your subscription tier. A space administrator can update the subscription at any time to add or remove licenses. This can be managed directly from the Subscription dashboard within the space.
