Within BIMcollab document management, the document name is incredibly important. This is because the entire version management depends on corresponding document names.
When Uploading Documents, BIMcollab will check if the document name is already known within the corresponding project. If so, the new document is linked as a newer version of the same document.
📝 Note: To keep clarity across all the documents, it is advised to have a fixed way in which documents are named.
Unambiguous naming of documents is therefore not only important for BIMcollab, but also for your project team and all users of the information who will work with it after you.
Document Naming Recommendations
Ideally, one should be able to deduce the document's topic from the name itself. The document name should therefore be a combination of several properties of the document.
What Should be Used in a Document Name
Here are some important properties that can be part of the document name:
Project
Project Phase
Discipline
Company
Location
What Should Not be Used in a Document Name
In order to be able to stack versions of documents on BIMcollab, properties that change per version should not be included in the document name, for example a status (Approved, Edited, Final, etc), version name (V1, V2, V3 etc) or dates.
BIMcollab will automatically recognize the document for you and update the version name in the document details page.
Document Naming Convention
A document naming convention is a set of rules used to consistently name project documents. In order to main structure across your project file organization, consider using the Document Naming Convention feature. This way, the same naming rules will apply to everyone who uploads documents to the active project phase.
Using pre-determined metadata fields, you can create document naming conventions that also provide clarity on the content and context of a document. These can include information related to the document such as Company, Discipline, Location, Project and Project Phase as well as a free field that is used as a unique identifier for the specific document.
