Upload documents
When documents are uploaded to a project, metadata is added as part of the process. There are two document upload settings with regard to metadata: default and advanced. With the default setting, adding metadata is optional, whereas with the advanced setting, it is mandatory. Project leaders and users with right permissions for project phases can activate the setting in the Settings tab. Depending on which setting is selected for the project, your upload process will differ.
Upload documents in the default upload setting
For new projects, adding metadata is optional by default. This means that documents can be uploaded quickly without the metadata fields having to be filled in manually.
In the default upload setting, you can add documents by:
A. Drag and drop the files directly into the documents table
B. Using the 'Add to project (phase)' button, which opens the file explorer directly.
The documents are uploaded immediately, and an upload feedback menu pops up to show the progress of the upload. From this menu, you can cancel the upload for all files (1) or for individual files (2). Additionally, a document details page (3) can be opened from this menu.
⚠️ Attention:When a new version of an existing document with the same file name is uploaded, BIMcollab will automatically upload it as a new version of the original file. However, if the original document is archived or frozen, the upload will be blocked and the following message will appear:
Upload documents in the advanced upload setting
When this setting is activated, certain metadata fields become mandatory. Users will be required to add the metadata before uploading the documents.
At the top right of the screen is the button for adding (1) documents to a project or project phase.
New documents will be placed in the project or project phase that is shown in the navigation menu (2):
You can change the project or project phase where the new document will be placed in in the navigation menu in the top-left corner:
Documents can be added to BIMcollab by drag-and-drop (1). In case drag-and-drop is not supported by your browser, you can also look up your drawings and upload them by using the "Choose files" button (2). Then choose the Upload button (3) to submit the files. If you want to create an information template for a file that is yet to be uploaded, select Placeholder (5).
Personal queue
After uploading documents, they are placed in the personal queue (1), where document information needs to be added to uploaded files (2) before they are uploaded to the project. Files can always be removed from this queue by making a selection and using the delete button (3).
Adding information to files
In BIMcollab, additional information can be added to documents. Information for uploaded files can be filled in manually (See the metadata page for more details) or automatically through a special upload list (Excel file). See further explanation in the article on upload lists.
To add a new version to an existing document, the document number must match exactly. Only then the new upload will be connected to the previous versions. If the document number is already known on BIMcollab the information will be filled in. See the document numbers page for more details.
If a Document Number Convention has been created for this project phase, the naming formula will be displayed at the top. The mandatory field values will be automatically displayed in the document number naming convention.
After uploading, BIMcollab provides an overview of the uploads and if there are any error messages regarding the upload, you will be notified on this overview. Click on the continue button (1) to continue.
Notifications
A notification can be created at the bottom of the document detail list. This is an accompanying letter when documents are posted, addressed to users in BIMcollab. This notification is saved as a message and an email is sent immediately after posting.
One or more users can be chosen (1) to receive the notification. There is a free text field (2) to enter a message. The save button (3) submits the files and sends the notification.
