In BIMcollab, managing users and monitoring access logs are essential administrative features. You can find detailed information about users, their roles, and how they log into your BIMcollab space in the Admin Page under the Users tab. This page provides two options for exporting data:
Export Users
Export Access Log
In this article, you'll learn what data is included in each export file and how you can further analyze the access log using Power BI.
1. Export users
The Export Users file provides a complete list of users associated with your BIMcollab space. This data includes the following details:
Email: The email address of the user.
Last name: The user's last name.
First name: The user's first name.
Initials: The user's initials.
Company name: The company the user belongs to.
Address: The user's address (if provided).
Created on: The date when the user was created in the system.
Last login: The most recent date and time the user logged in.
Active (True/False): Indicates whether the user has access to the space or not.
Role: Specifies the role assigned to the user, either User or Administrator.
This data is valuable for managing user accounts, and understanding user roles within your space. Note that this information is also visible directly on the Users tab in the Admin Page without exporting.
2. Export Access log
⚠️ Note: This feature is not available on all plans. To check if it’s included in your subscription, review the [plan comparison list] or contact your admin. If the feature isn’t available, you may need to upgrade your plan.
The Access Log provides detailed records of user activity in your BIMcollab space. This log includes the following information:
User: The name and email address of the user.
IP Address: The IP address from which the user accessed the space.
Timestamp: The date and time of the access event.
Login Source: The application or platform used for login. Examples include WebApp, BIMcollab Zoom, BCF Managers, or BIMcollab Power BI Connector.
This data helps administrators monitor user access, detect unusual login activities, and ensure platform security.
Getting the Access Log data from Power BI
For administrators using Power BI, access log data can also be retrieved and analyzed by connecting to the BIMcollab space. For more detailed instructions, refer to the How to Connect Power BI to BIMcollab article.
After connection you can navigate to Space Information > User Access Log.
