How to assign BIMcollab licenses

BIMcollab is a unified platform that offers different modules to meet the various needs of a project workflow.

For users, a module-based structure means that access to features and functionalities is determined by the license of a specific module to which they have been assigned. In this way, BIMcollab provides license-based access to tools that are relevant to different user needs.

As an administrator in your BIMcollab space, you have the ability to assign licenses to users.

To assign a license to a user, follow the steps below:

  1. Go to the Space Administration by clicking the gear icon in the top-right corner.

  2. Navigate to the Users page.

  3. Locate the user you want to assign a license to using the search bar if needed.

  4. Use one of the two ways to assign a BIMcollab license:

    1. From the user list, use the toggles from the last columns of the User overview to quickly assign or remove licenses. (e.g. BIMcollab Zoom).

    2. Click on the User name to access the details panel, and press the button 'Edit user'. From the edit panel, select the licenses to be assigned to the user using the checkboxes in the bottom section.

Once assigned, the user will gain access to the corresponding features within the BIMcollab applications and modules.

Since each module is unlocked through its own license, the top banner menu may appear differently for each user. Below is a brief explanation of each module and its location in the top banner.

  1. Document Management (Twin licence) allows you to store, manage, and share assets and documents. If a user has a Document Management license assigned, the top banner will display the Documents tab.

  2. Issue Management (Nexus licence) enables the ability to manage BCF issues and BIM requirements with IDS. If a user has an Issues Management license assigned, the top banner will display the Issues tab.

    If a user has a Document and Issue Management license, both assigned, the top banner will display all BIMcollab tabs.

  3. BIMcollab Zoom is an IFC viewer and model checker that provides model validation and information take-offs. The top banner does not suffer any alteration for users with a BIMcollab Zoom license assigned.

💡 Tip: If a BIMcollab Zoom license is assigned to a user, the user can retrieve the license in the BIMcollab Zoom application using the user's space credentials.

BIMcollab also integrates with other external tools through BCF managers (e.g. Revit, Solibri, etc.), cloud services (e.g Autodesk Docs and Trimble Connect), data management platforms (e.g. Sharepoint, Dropbox, etc.), data visualization platforms (e.g. PowerBI), as well as custom API connections.

⚠️ Attention: BCF Managers require an Issue Management license to function properly. Without it, the Issue list will not be visible after connecting to a project.


Manage your subscription

The number of licenses available for each module is determined by your subscription plan. A space administrator can update the subscription at any time to add or remove licenses. This can be managed directly from the Subscription dashboard within the space.
