Document details

Document Details page offers comprehensive metadata, version history, attachments, links, and workflow information for each document.

By clicking on the blue document number, the document details are displayed. Each document number represents a complete record of all previous document versions.

Once the document details page is open, you’ll find a menu on the left-hand side that categorizes all the available data related to the selected document. This article is a breakdown of each section.

Document

This section contains the document metadata that the document and a toolbar to apply certain actions on that document.

A. Toolbar

To manage your documents effectively, these are the toolbar options available on the details page:

(1) Download, (2) Approve, (3) Send Notification, (4) Edit, (5) Add to Document Set, (6) Freeze, (7) Archive, and (8) Delete.

B. Metadata of a document

The data attached to the document are listed in the middle part of the page. To learn more about metadata, refer to this article: Metadata

C. Current version data

The bottom sectipon of teh details page shows the metadata specific to the current version of the document. This provides a quick overview, but if you want to explore previous versions, you can do so via the Versions section in the left menu of the document details page.

Clicking on the version number gives you a detailed view of that specific document version:

Versions

This section lists all available versions of the document. Each version can be downloaded individually, and key details are displayed, such as who uploaded the version and whether it has been published.

Attachments

This section displays all attachments associated with the current version of the document. You can also add new attachments directly to this version here.

If you wish to add attachments to a different version, you’ll need to open that specific version and upload the attachments from within its own details page. Once added, those attachments will also appear in this Attachments section under the corresponding version.

Note that when downloading a document, you have the option to include its attachments in the download package. To read more about attachments refer to this article: Document Attachments

Links

Documents within the same phase can be linked together. In this section, you can view documents that are linked to the current document, as well as those that have the current document linked by them.

When downloading the document, you also have the option to include all documents that are linked to it, allowing you to download them together if you choose. To read more about topic refer to this article: Linked documents

Document sets

Document sets allow you to group related documents together, such as all documents for a specific permit application. You can add individual documents to a set, either by selecting a specific version or always including the latest version. Multiple documents can also be added to a set at once. To do's

The to do's section displays all communication related to the document, including questions, tasks and notes. For more information on managing and adding communication, refer to the article: To do's module.

Workflows

The Workflows section shows the workflow steps triggered for this document based on predefined conditions. These workflows help automate coordination tasks like audits, reviews, and notifications.

Events

The Events tab logs all actions taken on a document, such as downloads, version updates, archiving, and workflow triggers. It includes time stamps, user details, and links to related document versions.

⚠️Attention: On the details page for IFC models, you’ll find an additional option in the top-right corner labeled "IFC document visible in WebViewer." This toggle lets you add or remove the selected IFC file from the BIMcollab WebViewer, making it easy to control its visibility in the viewer.

💡Tip: External References and External Links mentioned in metadata are distinct from Attachments and Linked Documents. While Attachments and Linked Documents relate to resources within BIMcollab, External References and External Links connect to resources outside of the BIMcollab environment.​ Read document associations to learn more.
