Freeze documents

Use this option in the Document Management functionalities of the CDE, to freeze documents to prevent any further document changes.

When working with the Document Management functionality in BIMcollab, you can choose to freeze a document.
Freezing a document prevents further changes, ensuring the version remains locked for review, approval, or record-keeping purposes. The freeze is typically used to prevent accidental modifications and ensure that everyone is working on the same version.

What does it mean to freeze a document?

When a document is frozen, it becomes read-only for most actions.
Only a few options remain available:

  • Download the document

  • Approve the document

All other options, such as Edit, Send Notification, Add to Document Set, Archive, or Delete, are hidden from the toolbar.

Tip: The freeze function is indicated by the snowflake icon.


How to freeze a document

  1. Open the Document Details for the document you want to freeze. (Learn more: Document Details)

  2. Click the Freeze icon in the action bar.

  3. Confirm your action if prompted.

Once the document is frozen:

  • A header is added to the document details page showing that it is frozen.

  • Most editing and management options are hidden.

  • The event is recorded in the Document Events log.


Recognizing frozen documents

In the documents overview table, frozen documents are marked with the snowflake (❄️) icon.

When a document is frozen or thawed, this action is automatically recorded in the document’s Events.
You can view this under the Events tab on the document details page.

Thawing (unfreezing) a document

If you need to make changes again, you can thaw the document:

  1. Open the Document Details.

  2. Click the snowflake icon again to unfreeze.

  3. The full range of editing actions will return.


Permissions required

The ability to freeze or thaw documents depends on your Phase Team User Role.

  • Only users with the appropriate rights within their team phase can perform these actions.

  • The rights to freeze a document may differ from regular documents or confidential documents.

  • If you don’t see the freeze option, contact your project administrator to verify your permissions.

  • When changing the user role, make sure to also check the 'Has access to non-published documents'. This is required for the freeze option to be enabled.
